Instruments are not ordinary luggage. A double bass needs its own space, timpani and harps travel in a van, and for string players with valuable instruments, secure stowage inside the vehicle matters. We clarify in advance, based on your seating list, what travels in the coach and what needs a separate van or tour truck.
For larger ensembles, equipment vans or tour trucks run in parallel with the coach. Equipment is delivered to the venue and reloaded after the concert. Cellists can bring their instrument into the coach on a reserved seat.
For orchestras with large percussion sections, stage equipment or sensitive large instruments, we arrange tour trucks and special transports through experienced instrument logistics partners, travelling alongside the ensemble. Loading plans and time slots are aligned with the tour schedule, so the equipment arrives at the venue before the musicians do.
On multi-day tours with changing venues, we plan the logistics so that load-in, load-out, driving legs and drivers' rest periods all fit together. Experience counts: we know how long load-out takes at a concert hall and which access routes are usable at which hour.
Soloists, conductors and crew members arriving separately are collected by minivan or sedan directly at the airport or railway station. Transfers between hotel, rehearsal venue and concert hall are part of the standard programme.
On international tours we coordinate transfers with the flight schedule: arrival, onward journey to the hotel, transfer to the dress rehearsal, return after the concert. One partner, one point of contact.
EU-wide driving and rest time rules apply to coach drivers. On longer legs this means planned breaks, a second driver where needed, or an overnight stop. We build these times into the tour schedule from the start, so the plan holds on concert day.
Combining coach and rail is often faster and more comfortable for musicians on long distances. We organise group tickets and individual arrivals and departures for single ensemble members, while the coach covers the local transfers.
For concert tours into non-EU countries such as Switzerland or the United Kingdom, instruments and equipment may require customs formalities. An ATA carnet documents that the instruments are only temporarily imported and re-exported. If visas or carnets are required, we assist with obtaining and preparing the documents.
Every tour has its own legs, waiting times and vehicle mix, so we quote every request individually: from a minivan with driver (up to 8 passenger seats) for soloists and small ensembles to 57-seat coaches, from airport transfers and concert days to multi-day tour support.
